What is AI Proposal Validation

AI Proposal Validation helps you review your estimate or proposal before sending it to a customer. Using AI, TakeCost analyzes your pricing, scope, and quantities to identify potential issues, omissions, or inconsistencies.

This can help reduce costly mistakes, improve proposal quality, and increase confidence before submission.

How to Run AI Proposal Validation

  1. Open a Proposal or click the Estimate tab.

  2. Click Validate with AI in the top toolbar.

  3. Select a validation mode.

  4. Click Run Validation.

The AI will analyze your proposal and surface any findings or recommendations.


Validation Modes

Default

Recommended for most proposals

The Default mode provides a balanced analysis of your proposal by reviewing:

  • Pricing consistency

  • Missing or unusual quantities

  • Potential scope gaps

  • Markup anomalies

  • General risk indicators

Use this mode when you want a comprehensive review before sending your proposal.


Itemized

Line-by-line analysis of individual items and quantities

Itemized mode reviews each line item separately to identify:

  • Missing materials

  • Unusual unit costs

  • Quantity inconsistencies

  • Pricing outliers

  • Duplicate or incomplete items

Best for detailed estimates with many individual line items.


Lump Sum

Evaluate scope coverage, risk, and pricing signals

Lump Sum mode is designed for proposals where pricing is presented as a single total rather than itemized costs.

The AI evaluates:

  • Pricing reasonableness

  • Potential missing work

  • Risk indicators

Best for lump sum bids and high-level proposals.


Cost Plus

Review markups, allowances, and cost transparency

Best for cost-plus contracts or estimates with detailed cost breakdowns.


Grouped

Analyze assemblies and grouped item completeness

Grouped mode reviews assemblies and grouped items to ensure:

  • Labour aligns with quantities

  • Assemblies are complete

  • Grouped pricing is consistent

Best for estimates built using assemblies, systems, or grouped takeoff items.
